Weloa Terms of Service
Version 1 — effective from September 23, 2026
Art. 1 — Who we are and definitions
1.1 Weloa is a service provided by Nexora Venture Studio S.r.l., with registered office at Piazza della Repubblica 19, 20124 Milan, Italy, VAT number IT14789390961 ("Weloa", "we").
1.2 In these Terms:
- "Service": the Weloa platform, available at weloa.app and my.weloa.app, with all its features.
- "Host": anyone who creates an account to use the Service.
- "Consumer Host": a Host who is a natural person using the Service for purposes outside their trade, business, craft or profession.
- "Business Host": any Host who is not a Consumer Host.
- "Guest": the person to whom the Host gives access to a Welcome Book.
- "Welcome Book": the digital guidebook created by the Host, with its sections and content.
- "Access": the PIN, with its validity period, that allows a Guest to open a Welcome Book.
- "Content": everything the Host writes, uploads or links in the Service.
- "Paddle": Paddle.com Market Limited and the companies of its group, which sell the subscription as reseller.
Art. 2 — Purpose of the Service
2.1 The Service allows the Host to create digital, multilingual Welcome Books for their accommodation and to make them available to Guests on their smartphones, through a link or QR code and a PIN, without the Guest having to register.
2.2 The Service includes, among other things: creating and organising content, managing languages and translations, including with artificial intelligence tools, managing Accesses and sending email invitations to Guests.
2.3 The Service is provided as it is in the version available from time to time. Weloa may improve, change or replace individual features, provided that the essential features described in section 2.1 remain available for the duration of the paid subscription.
Art. 3 — Registration and account
3.1 To register you must be at least 18 years old, provide a valid email address, confirm it and accept these Terms.
3.2 Each user has one account only. The account is personal and cannot be transferred.
3.3 The Host keeps their credentials safe and is responsible for any use of the account made with them. If they suspect unauthorised use, they must change their password immediately and notify us at support@weloa.app.
3.4 The Host undertakes to provide true data and keep it up to date, in particular the email address, to which we send all communications provided for by these Terms.
Art. 4 — Free trial
4.1 Each new account is entitled to a free trial of 7 days from registration, without entering any payment method.
4.2 During the trial the Host can create one Welcome Book.
4.3 At the end of the trial, if the Host has not activated a subscription, the account is blocked as described in Art. 8. The trial does not renew automatically and does not involve any charge.
Art. 5 — Subscription, prices and payment
5.1 The subscription is annual and there is one per account, with a single expiry date. It includes one Welcome Book. Each additional Welcome Book requires an additional slot, paid for the same period.
5.2 Prices are those shown on the website and in the Service at the time of purchase, in euro, excluding taxes, which Paddle calculates according to the Host's country.
5.3 The subscription is sold by Paddle, which acts as reseller (Merchant of Record): it collects the payment, applies taxes and issues the invoice. The purchase is also governed by Paddle's buyer terms, which the Host accepts at the time of payment. Payment method, invoices and billing details are managed from Paddle's portal.
5.4 If the Host activates the subscription during the trial, the year starts from the day of payment.
5.5 If the Host adds a Welcome Book during the year, they pay for the additional slot immediately, in proportion to the days remaining until the common expiry date.
5.6 If the Host has more Welcome Books than paid slots, the most recently created Welcome Books beyond the number of slots remain visible to the Host but cannot be viewed by Guests until the slot is paid for.
5.7 Some artificial intelligence features may consume credits, purchasable separately. Prices and terms of the credits are shown in the Service before purchase.
Art. 6 — Renewal, cancellation and refunds
6.1 The subscription renews automatically every year on expiry, for the number of Welcome Books existing at that time, at the price then in force. At least 7 days before renewal we send a reminder to the account's email address.
6.2 The Host can cancel the subscription at any time from the Subscription page. Cancellation takes effect at the end of the current period: until that day the Service remains active. Cancellation can be withdrawn until expiry.
6.3 Except as provided in Art. 7 for the Consumer Host and except where the law or Paddle provide otherwise, periods already paid are not refundable, not even in part. In particular, if the Host deletes an additional Welcome Book they receive no refund or credit: the slot remains usable until expiry, and the Host can create another Welcome Book in it without paying again. On renewal the Host only pays for existing Welcome Books.
6.4 If a renewal payment fails, Paddle retries it for a limited period, during which the Service remains active. If the payment does not succeed, the subscription expires and Art. 8 applies.
6.5 If the subscription is closed immediately, for example following a refund or a payment dispute, the account is blocked from the moment of closure.
Art. 7 — Consumer Host's right of withdrawal
7.1 The Consumer Host has the right to withdraw from the purchase of the subscription within 14 days of payment, without giving any reason, under Articles 52 and following of the Italian Consumer Code (Legislative Decree 206/2005).
7.2 Since the seller is Paddle, withdrawal is exercised as set out in Paddle's buyer terms, or by writing to support@weloa.app: in that case we forward the request.
7.3 The refund follows the rules of law and Paddle's rules. With the refund the subscription is closed and Art. 6.5 applies.
7.4 The Business Host has no right of withdrawal: the right to cancel under Art. 6.2 remains unaffected.
Art. 8 — Expiry and blocking of the account
8.1 When the trial or subscription expires without renewal, the entire account is blocked, not individual Welcome Books.
8.2 With the account blocked, the Host can sign in and see their content, but cannot change it. They can still delete a Welcome Book or the account, and pay to reactivate it.
8.3 With the account blocked no Welcome Book can be viewed by Guests: anyone opening a link or scanning a QR code sees a page stating that the content is not available. Weloa is not liable for the consequences for the Host or their Guests.
8.4 Upon payment, the account is unblocked and the Welcome Books become viewable again, with the same links and QR codes.
Art. 9 — Deactivation and deletion for non-payment
9.1 If the Host does not pay, the account is deactivated 90 days after expiry. From deactivation the Host can no longer sign in to the Service.
9.2 Before deactivation we send up to five notices to the account's email address: on expiry, and when 30, 7, 3 and 1 days remain before deactivation. The notices are a courtesy: failure to receive one or more notices, including because of a delivery problem, does not change the deadlines.
9.3 The account's data is deleted within 30 days of deactivation, permanently: Welcome Books, content, files, translations, Accesses and Guest data. Until deletion the Host can ask to reactivate the account by writing to support@weloa.app and paying for the subscription.
9.4 A Host who wants to keep their content must make a copy before deactivation.
9.5 The Host can also delete the account at any time from the Account page. Deletion is immediate and irreversible, and gives no right to refunds.
Art. 10 — Host Content
10.1 Content remains the Host's. The Host warrants that they hold all rights to it, including rights to texts, photos, logos, documents and linked videos, and that they comply with the law and third-party rights.
10.2 It is forbidden to publish through the Service content that is unlawful, offensive, discriminatory, misleading, infringes the rights of others or includes personal data of third parties without a legal basis, and to use the Service for purposes other than those described in Art. 2, to send unsolicited communications or to circumvent its protections.
10.3 The Host grants Weloa, for the duration of the relationship, a non-exclusive, free-of-charge right to store, reproduce, adapt in format, translate and display the Content for the sole purpose of providing the Service.
10.4 The logo and cover image of a Welcome Book are public: anyone who knows their address can see them without a PIN. The addresses chosen by the Host for Welcome Books must comply with the law and the rights of others; Weloa may refuse words reserved to the Service. If the Host renames the address of a Welcome Book, links with the old address stop working; QR codes generated by the Service remain valid as long as the Welcome Book exists.
10.5 Weloa does not check Content before publication. Anyone can report unlawful content by writing to support@weloa.app. If we receive a well-founded report or an order from an authority, we may make the content unavailable, informing the Host, as provided in Art. 16.
10.6 The Host shall hold Weloa harmless from any third-party claim arising from the Content or from a breach of this article.
Art. 11 — Guests and Accesses
11.1 A Welcome Book is always protected by a PIN. The Host creates Accesses, chooses whom to give them to and can revoke them at any time; revocation takes effect immediately.
11.2 The Host can create an Access with no expiry, with a fixed PIN: that PIN remains valid for anyone who learns it, until the Host changes or revokes it. A Welcome Book with an Access with no expiry cannot have other Accesses at the same time. Choosing and safeguarding the PIN is the Host's responsibility.
11.3 After entering the PIN the Guest remains signed in until the end of the stay, and in any case for no longer than 30 days.
11.4 For Guest data the Host is the controller and Weloa is the processor, under the Data Processing Agreement attached to these Terms (Annex A). The Host must inform their Guests and have a legal basis for entering their data and for having email invitations sent to them.
11.5 Invitations to Guests are sent on the Host's behalf, with the name and look of their Welcome Book. Guests contact the Host, not Weloa, for any matter concerning their stay.
Art. 12 — Artificial intelligence features
12.1 The Service offers features based on artificial intelligence, such as automatic translation of content, provided through third-party providers listed in the Privacy Policy.
12.2 Results produced by artificial intelligence are proposals: they are created as drafts and become visible to Guests only after the Host's approval. Weloa does not guarantee that they are accurate, complete or suitable.
12.3 If the Host enables, for a Welcome Book, publication of translations without review, they do so under their own responsibility: translations become visible to Guests without checks.
12.4 The Host must not include in the content to be processed personal data of Guests or third parties that is not necessary for the Welcome Book.
Art. 13 — Support access to the account
13.1 To provide support or solve a technical problem, Weloa's authorised staff may enter the Host's account and see what the Host sees, even without a request from the Host and without notifying them at the time.
13.2 Each access lasts at most 60 minutes. During access it is not possible to make payments, cancellations or subscription changes, change email, password or language, delete Welcome Books or the account, revoke Accesses or send emails to Guests.
13.3 Each access is recorded, stating who entered, when, for how long and how it ended. Authorised staff are bound by confidentiality.
Art. 14 — Availability of the Service
14.1 Weloa strives to keep the Service continuously available, but does not guarantee that it will always be accessible or error-free.
14.2 The Service may be suspended for maintenance, updates or provider issues. For scheduled maintenance making the Service unavailable for more than a few hours, we notify the Host where possible.
14.3 The Host is responsible for keeping a copy of their Content and for having an alternative way of giving Guests essential information, such as emergency information.
Art. 15 — Limitation of liability
15.1 Towards the Business Host, Weloa's total liability for any cause related to the Service is limited to the amount paid by the Host in the 12 months preceding the event that caused it. Weloa is not liable for indirect damage, such as loss of earnings, lost bookings, negative reviews or loss of data the Host could have kept.
15.2 Weloa is not liable for the Host's Content, for the Host's use of Accesses and PINs, for the consequences of the blocking or deactivation provided for in Arts. 8 and 9, or for failures of third-party providers beyond its control.
15.3 Towards the Consumer Host, the limitations in this article apply only to the extent permitted by the Italian Consumer Code.
15.4 The limitations do not apply in case of wilful misconduct or gross negligence by Weloa, personal injury, and other cases in which the law does not allow liability to be limited.
Art. 16 — Suspension and termination by Weloa
16.1 Weloa may suspend the account or make individual Content unavailable if the Host breaches these Terms, if Content is unlawful or the subject of a well-founded report, if an authority requires it, or if the use of the account endangers the security of the Service or other users.
16.2 Except in urgent cases, before suspending we notify the Host by email, stating the reason and giving a reasonable time to remedy. In urgent cases we notify immediately afterwards.
16.3 In case of serious or repeated breaches Weloa may terminate the contract with immediate effect, notifying it by email. In that case the Host has no right to refunds, unless the law provides otherwise.
16.4 Weloa may withdraw from the contract for any reason with 30 days' notice: in that case it refunds the part of the subscription already paid and not used.
Art. 17 — Personal data
17.1 The processing of the Host's personal data and of Guests' technical data processed by Weloa as controller is described in the Privacy Policy.
17.2 For Guest data entered by the Host, Weloa acts as processor under Annex A, which forms part of these Terms.
Art. 18 — Changes to the Terms
18.1 Weloa may change these Terms for legal or technical reasons or because of the evolution of the Service. Substantial changes are communicated to the Host by email and in the Service at least 30 days before they take effect, except for changes required by law, which may take effect earlier.
18.2 Price changes apply only from the renewal following the communication.
18.3 If they do not accept the changes, the Host can cancel the subscription or delete the account before they take effect. Weloa may ask the Host to accept the new version at their next sign-in.
Art. 19 — Governing law and jurisdiction
19.1 These Terms are governed by Italian law.
19.2 For disputes with the Business Host, the Courts of Milan have exclusive jurisdiction.
19.3 For disputes with the Consumer Host, the court of the place where the consumer resides or is domiciled has jurisdiction. The mandatory rules of the country where the consumer resides remain unaffected.
Art. 20 — Contacts and communications
20.1 For support: support@weloa.app. For legal and privacy matters: the address given in the Privacy Policy.
20.2 Communications to the Host are sent to the account's email address or shown in the Service.
20.3 If a clause of these Terms is found invalid, the others remain valid. These Terms exist in Italian, English and Spanish; in case of conflict the Italian version prevails, unless the law applicable to the Consumer Host provides otherwise.
Annex A — Data Processing Agreement
under Article 28 of Regulation (EU) 2016/679 ("GDPR")
A.1 Roles
The Host is the controller of the personal data of Guests that they enter in the Service. Weloa is the processor and processes it only on the Host's behalf. This Annex forms part of the Terms of Service and is accepted with them.
A.2 Subject matter, duration, nature and purpose
- Subject matter and purpose: storing Guest data, managing Accesses and PINs, sending email invitations, displaying Welcome Books to authorised Guests.
- Nature: collection through the Service, storage, consultation, sending by email, deletion.
- Duration: that of the contract, plus the time needed for deletion set out in section A.9.
A.3 Data and data subjects
- Data subjects: the Host's Guests and any person whose data the Host enters in the Content.
- Data: name, email address, language, dates of stay, Host notes, PIN, invitation log and any personal data contained in the Content.
- Special categories: the Service is not designed to process them; the Host undertakes not to enter them.
A.4 Instructions
Weloa processes data only on the documented instructions of the Host, which consist of the Terms of Service and of the Host's use of the Service's features. If an instruction appears to infringe the law, Weloa informs the Host.
A.5 Confidentiality
Persons authorised by Weloa to process the data are bound by confidentiality. Support access to the Host's account follows Art. 13 of the Terms.
A.6 Security
Weloa adopts appropriate technical and organisational measures, including: isolation of each Host's data at database level; encryption of communications; PINs stored protected and encrypted; limits on PIN attempts; restricted and logged internal access; providers selected for their security guarantees.
A.7 Sub-processors
The Host gives Weloa a general authorisation to engage the sub-processors listed in the Privacy Policy. Weloa imposes on them data protection obligations equivalent to those in this Annex and remains liable for their performance. Weloa informs the Host of any new sub-processor at least 30 days in advance, by updating the Privacy Policy and notifying by email. The Host may object on reasonable grounds; if no solution is found, they may cancel and obtain a refund of the unused part of the subscription.
A.8 Transfers outside the EU
Where sub-processors process data outside the European Economic Area, the transfer is based on the EU-US Data Privacy Framework or on the European Commission's standard contractual clauses.
A.9 Assistance, breaches and end of processing
- Data subject rights: Weloa helps the Host respond to Guests' requests, as far as possible with the Service's features. If a Guest contacts Weloa, we forward the request to the Host.
- Data breaches: Weloa informs the Host of a breach of Guest data without undue delay and in any case within 48 hours of becoming aware of it, with the information available.
- Other assessments: Weloa provides the Host with the information reasonably necessary for impact assessments and consultations with the authority.
- End of processing: when the account is deleted, Guest data is deleted immediately; in case of deactivation for non-payment, within 30 days of deactivation. Upon written request received before deletion, Weloa provides the Host with a copy of the Guest data in a readable format. Legal retention obligations remain unaffected.
A.10 Audits
Weloa makes available to the Host the information needed to demonstrate compliance with this Annex. The Host may request an audit, with at least 30 days' notice, no more than once a year and at its own expense, without access to other Hosts' data.
